How to Share Notes with Students on the Portal

You are able to share Notes with students during creation. To share an existing Note, you need to Edit the Note and change its sharing options. Instructions on how to edit or create Notes can be found in the Creating, Sending, and Editing Advising Notes section.

To share a Note with the Student Portal, check the Share on Student Portal checkbox when creating or editing a Note.

You can also check the Email to Advisee checkbox when creating or editing a Note, which will send the Advising Note to the student via email through TerpEngage. Note that this does not make an Advising Note available to the student on their Student Portal.

How to Share a Note with Other Advisors (through the Chatter function)
You can not share a Note with another advisor at its creation, you must first create and save a Note to be able to share it with an advisor. Once a Note is created, you can share it by “tagging” another advisor in an update in the Note.

Open the Note you would like to share. Information about how to open Notes can be found in the Accessing Advising Notes section.

Click > Chatter found at the bottom right of the screen. This is where advisors communicate about an Advising Note.

Type a quick message in the Share an Update… bar and tag an advisor using the @ symbol followed by the advisor’s name (ex: @Sally Advisor). After you begin typing the advisor’s name, TerpEngage will come up with a list of Users to select from. You have to select a User from this list in order for the tagging to be successful.

Click Share.

The advisor will get a bell notification and an email notifying them they have been tagged. Note: Other advisors who view this Note will be able to see who it’s been shared with.
